A signed slip that arrives a week late delays the invoice by a week, and collection by even longer.

Digital shipping documents: waybills, delivery notes and invoices without paper

Every shipment generates several documents: the shipping order, the waybill or cargo manifest, the delivery note and the invoice. This article explains how to move this cycle into digital form without the documents losing their value as evidence.

What are digital shipping documents and how do I start using them?

They are electronic versions of transport documents, generated directly by the system under a single reference number, completed with a signature and photo on the driver’s phone, and stored in a searchable archive. Start by digitising the delivery note, because it speeds up invoicing and settles disputes, then move on to waybills and invoices. Keep paper copies wherever local regulations require them.

Core documents in the shipping cycle

Shipping order
Records the customer’s request: sender, recipient, type of goods, weight or number of pieces, and the requested collection date.
Waybill or cargo manifest
Documents what was actually loaded on the vehicle and travels with the goods throughout the trip.
Delivery note
Proves the recipient received the goods in a given condition at a given time, and is the basis on which the invoice is built.
Invoice and statement
Issued after delivery, bringing together trips, extra services and the amounts the customer owes.

What do you gain from digital documents?

Faster invoicing
As soon as delivery is confirmed on the driver’s phone, the invoice is ready to issue without waiting for the paper to come back to the office.
Stronger evidence in disputes
A photo, signature, location and time together are far clearer than an illegible signature on a torn slip.
Instant search
Find any document by shipment number, customer name or date, instead of digging through boxes of paper.
Fewer data entry errors
Data is entered once in the shipping order, then flows automatically into the waybill and the invoice.

What to watch for in Syria

Legal validity
Some documents may need a paper copy, a stamp or a wet signature for official bodies. Check current local legal requirements before dropping any paper copy.
Working offline
Drivers must be able to issue and save the delivery note on the phone in areas with weak coverage, then sync it later.
Printing on demand
A small portable printer in the vehicle is a practical compromise when a customer asks for a paper copy on the spot.
Documents in two currencies
When a service is priced in one currency and paid in another, print the agreed exchange rate and its date on the invoice so the two sides don’t disagree later.

Steps to digitise shipping documents

  1. 01

    Standardise numbering and templates

Design one template for each document with a sequential number that links it to the shipment itself.

  2. 02

Start with the digital delivery note

Enable signature and photo capture on the driver’s phone, keeping paper temporarily for comparison.

  3. 03

Link the delivery note to the invoice

Have invoices created automatically from delivered shipments instead of writing them by hand.

  4. 04

    Send copies to the customer

Send the delivery note and invoice as PDFs by email or WhatsApp as soon as they are issued.

  5. 05

    Archive under a clear policy

Decide where documents are stored, who can see them and how long they are kept.

Frequently asked questions

Will customers accept a delivery note on a phone?

Many customers accept it quickly, especially when they receive an instant copy on WhatsApp. For customers who want paper, you can print one from a portable printer.

Can we put a QR code on documents?

Yes. The code links the document to its record in the system, so the recipient or a staff member can verify it and check the shipment status by scanning it.

Do digital documents replace customs and import documents?

No. Customs documents have their own requirements set by the competent authorities. But organising them digitally inside the company makes them easier to find and follow up.

Where should we store digital documents safely?

In a central archive with defined permissions and backups in more than one place, not on employees’ phones or in WhatsApp chats.

What if the recipient refuses to sign on the phone?

The driver records the refusal with a photo of the parcel at the door, the time and the location, and a confirmation code can be sent to the recipient’s phone instead of a signature. What matters is that the record holds clear evidence of what happened.
