Once you understand the term, you ask the vendor the right question and don’t pay for buzzwords.

What are the key digital transformation terms a manager needs to know?
The most important are enterprise resource planning (ERP), customer relationship management (CRM), cloud computing, automation, dashboards, application programming interfaces (APIs), backups and permissions. Understanding these terms helps you evaluate proposals and see what you actually need and what can wait.
System terms
- ERP: enterprise resource planning
- A system that connects sales, purchasing, stock and accounts, and sometimes human resources, in a single database.
- CRM: customer relationship management
- A system for recording customers and prospects, communicating with them and following sales opportunities through to closing.
- POS: point of sale
- Software and hardware for direct sales in a shop, which records the invoice and deducts the quantity from stock.
- HRMS: human resources management system
- Manages employee data, attendance, leave and payroll.
- DMS: document management system
- Stores documents electronically and organises how they are circulated, approved and searched.
Infrastructure and data terms
- Cloud computing
- Running software and storing data on servers over the internet instead of on a machine in the office, taking into account connection quality and access from Syria.
- Local server
- A machine inside the company that runs the system. It helps when the internet is weak, but it needs maintenance, backups and backup power.
- API: application programming interface
- A way for two systems to exchange data automatically, such as linking an online store to stock.
- Backup
- A regular copy of the data kept in a separate place, so it can be restored after a failure or a mistake.
- Permissions
- Defining what each user can see or change inside the system.
Management and measurement terms
- KPI: key performance indicator
- A number that measures progress towards a specific goal, such as the average time it takes to collect invoices.
- Dashboard
- A screen that shows the most important figures visually and up to date, to make decisions easier.
- Change management
- A plan to help staff accept the new way of working through communication, training and follow-up.
- Pilot
- Applying the solution on a small scale for a set period before rolling it out.
How to use these terms when evaluating proposals
- 01
Ask for the proposal in plain language
Ask the vendor to describe what they will deliver in Arabic, with the original term in brackets.
- 02
Link each term to a problem
Ask: which problem in our business does this system or service solve, exactly?
- 03
Separate the essential from the extra
Decide what you need now and what can wait for a later phase without harm.
- 04
Ask about data and continuity
Who owns the data, where is it stored, and how is it restored after a failure or a change of vendor?
- 05
Compare proposals on the same criteria
Put the proposals in one table using the same terms so the comparison is fair.
Terms you may hear in quotes
| Term | What it means in practice | Question to ask the vendor |
|---|---|---|
| SaaS | Software you use on subscription over the internet | What happens to my data if I stop paying? |
| On-premise | Software installed on machines inside your company | Who handles maintenance and backups? |
| Customisation | Adapting the system to fit your procedures | Do the changes survive system updates? |
| Data migration | Moving old data into the new system | Who cleans the data and who reviews it? |

Frequently asked questions
Do I need all of these systems?
No. Choose based on your problem and the size of your business; many small companies start with just a point of sale and stock.
What is the difference between ERP and accounting software?
Accounting software focuses on entries and accounts, while ERP links the accounts to sales, purchasing, stock and more.
Is the cloud safe for my company’s data?
It depends on the provider, the security settings and how permissions are managed. In Syria you also need to confirm ongoing access to the service and the ability to pay for it.
Why do these terms stay in English?
Because they are common in proposals and software. What matters is that the vendor explains them in Arabic and that the interface itself is in Arabic for your staff.
How do I use this glossary in practice?
Keep it at hand when reading any quote, and ask the vendor to explain every term you don’t understand and link it to a specific problem in your business.
