An order lost among the messages is a customer who goes to the shop next door.

WhatsApp orders and delivery: how to organise them digitally

WhatsApp is the real storefront for many shops in Syria: the customer sends a photo or a voice note, the shop replies and sends the order out with a delivery person. Problems start when orders pile up: forgotten messages, incomplete addresses and cash nobody knows who collected.

How can a shop organise WhatsApp orders and delivery digitally?

Use a WhatsApp Business account with a catalogue and quick replies, and turn every incoming order into an entry in an order log with a number and a clear status: new, being prepared, out for delivery, delivered. Link the order to stock and the payment method, and record who delivered it and who collected the money. That way no order gets lost, and everyone knows where each one stands.

Setting up WhatsApp for business

A separate business account
A dedicated shop number on the WhatsApp Business app, not on the owner’s personal phone.
An up-to-date catalogue
Photos and prices of the main items in the catalogue, with prices updated when they change.
Quick replies
Ready replies for greetings, opening hours, delivery areas and asking for the address, which save time and keep the tone consistent.
Chat labels
Use labels to mark new, ready and paid orders.
Order hours
Announce the hours when orders are accepted and turn on an away message outside them, so customers don’t feel ignored.

From message to recorded order

A number for every order
Each order is recorded in a spreadsheet or system with a number, date, customer name and address.
Written confirmation
Send the customer a summary of the order, the total price and the delivery fee before preparing it, to avoid disputes later.
Clear statuses
Update the order status at each stage, so any staff member knows where it is without asking the owner.
Linked to stock
When the order is confirmed it is deducted from stock, so you never promise a customer an item you don’t have.
Repeat orders
Save regular customers’ orders as templates, so staff can repeat the same order quickly instead of typing it again.

Delivery and cash collection in the Syrian reality

Descriptive addresses
Many addresses are descriptive, so ask for the customer’s location on the map and save it in their record for future orders.
Cash collection
Record the amount the delivery person collects for each order, and reconcile the total with them at the end of the day.
Fees by area
A clear table of delivery fees by area, sent to the customer in advance.
Lost connection
If the internet goes down, keep a temporary numbered paper log and enter it as soon as the connection returns.
Delivery time
Record when the order leaves and when it is delivered, to see which areas have delays and improve how you assign delivery staff.

Frequently asked questions

Can more than one staff member reply on a single WhatsApp number?

Yes, to different degrees depending on the tool: the WhatsApp Business app supports linking several devices, and API-based solutions let a whole team work from a shared inbox.

Do I need an online store instead of WhatsApp?

Not necessarily. If your customers are comfortable with WhatsApp, organise that first. A store becomes useful when items and orders multiply and customers need to browse on their own.

How do I handle voice notes?

Listen to them, then confirm the order in writing to the customer, so you both have a clear reference for items and quantities.

Can replies be automated?

Repetitive messages such as greetings, opening hours and order status can be automated, while complex orders still need a human reply.

Who can help me connect WhatsApp to an order system?

The ONE DIGITAL team can review your order volume and suggest the right level, from simple organisation to automated integration.
