A breakdown on the road costs more than the repair: a late trip, an angry customer and a driver left waiting.

Digitally scheduled vehicle maintenance: from fixing breakdowns to preventing them

In many companies, maintenance happens when a vehicle breaks down or when the driver remembers. Digital scheduling turns maintenance into regular, predictable work and gives you a true picture of what each vehicle costs to run.

How do I schedule my company’s vehicle maintenance digitally?

Create a file for each vehicle with its details and odometer reading, and set an interval in distance or time for each type of maintenance, such as an oil change or a brake check. The system sends a reminder before the due date, and every repair is logged with its cost, parts and photos. Over time you learn which vehicles are worth keeping and which have become a burden.

What does scheduled maintenance cover?

Routine servicing
Oil and filter changes and fluid checks by distance or time, whichever comes first.
Preventive checks
Brakes, tyres, battery, lights and suspension, all of which bear directly on safety.
Documents and renewals
Vehicle licence, insurance and roadworthiness inspection, each with an expiry date that must not slip by.
Emergency repairs
These are logged too, because repeated repairs on one vehicle point to a deeper problem or the end of its economic life.

How the system works in practice

Odometer reading
Comes automatically from the tracker, or the driver enters it weekly with a photo of the odometer.
Advance reminder
An alert to the fleet manager far enough ahead of the service, in distance or days, to arrange a replacement vehicle.
Work order
A maintenance order is opened stating the work, the workshop and the parts, and closed with the cost, photos and the technician’s notes.
Daily pre-trip check
A short checklist the driver fills in on his phone: tyres, lights, fluids and any unusual noise.
Running cost per kilometre
The system adds up maintenance, fuel and tyres for each vehicle and divides by distance driven, so you know what each kilometre really costs.

What is specific to the Syrian market

Spare parts and availability
Some parts are not reliably available and their prices move with the exchange rate, so keep a record of suppliers and past prices, plus a small stock of the parts you use most.
Relatively old vehicles
The older a vehicle gets, the more important preventive maintenance and a breakdown history become, not less.
External workshops
If you rely on outside workshops, ask for a detailed invoice for every repair and photos of replaced parts, and add them to the vehicle’s file.

Getting started

  1. 01

Create a file for each vehicle

Plate number, model, year of manufacture, current odometer reading, and licence and insurance dates.

  2. 02

    Set the maintenance plan

Maintenance intervals for each vehicle type, based on the manufacturer’s recommendations and your technicians’ experience.

  3. 03

    Switch on reminders

Through the system, a shared calendar or automatic WhatsApp messages to the fleet manager.

  4. 04

    Log every repair

With cost, parts, workshop and photos, small repairs included.

  5. 05

    Review each vehicle’s cost regularly

Compare maintenance costs with the revenue the vehicle brings in to decide whether to replace or sell it.

  6. 06

    Link drivers to vehicles

Record who drove each vehicle every day, so you can see whether repeated breakdowns are tied to a particular driving style.

Frequently asked questions

Do we need a dedicated maintenance system?

For a small fleet you can start with an organised spreadsheet and a shared calendar. As the number of vehicles grows, a system linked to tracking and inventory saves time and is more accurate.

How do we set the right maintenance intervals?

Start with the manufacturer’s recommendations, then adjust them to actual operating conditions such as rough roads, heavy loads and heat, in consultation with your technicians.

Can maintenance be linked to spare parts stock?

Yes. When a work order is closed, the parts are deducted from stock, and an alert appears when key parts fall below a level you set.

How do we know when a vehicle should be replaced?

When breakdowns keep recurring and maintenance costs climb relative to the revenue it brings in. This only becomes clear if you have a complete record for each vehicle.

Does ONE DIGITAL help set up a maintenance system?

Yes. Its team can set up vehicle files and reminders and link them to tracking and inventory, sized to your fleet.
