ONE DIGITAL

The cheapest offer on paper may turn out to be the most expensive in delivery.

How to compare digital transformation proposals and choose the right one

You receive offers at very different prices, each written in a different way, so it is hard to know which is best. A fair comparison starts before the offers arrive, by writing a clear scope that everyone is asked to price. This article sets out an organised way to compare offers and a table you can use straight away.

How do you compare offers from digital transformation companies fairly?

Write a common scope and ask every company to price it, separating one-time from recurring costs. Then compare what each offer actually includes: data migration, training, support after go-live, ownership of data and code, and payment and currency terms. Give each criterion a weight according to its importance to you, and ask to see similar work before deciding.

Before you request offers

Write the scope
Describe the processes you want to change, the number of users and branches, the key reports and the systems that must be integrated.
Set special requirements
Such as Arabic in the interface and reports, offline work, handling two currencies and use on mobile.
Ask for a common format
Ask everyone to break their offer into the same items, so you compare like with like.
State what you don’t need
Specify the modules or features not required now, so they aren’t added to the price as part of a package.
Treat everyone equally
Give all companies the same deadline and the same information, and collect their questions and your answers in one file sent to all of them.

What to compare in each offer

What’s included and what’s excluded
Data migration, training, changes and support may sit outside the base price in some offers.
Total cost over several years
Add the first payment to the expected subscriptions, maintenance and support, rather than looking only at the first figure.
Implementation plan
Does the offer set out clear phases, dates and responsibilities for each side, or just a general promise of delivery?
Support after go-live
Support channels, hours and response times, and whether there is a nearby Arabic-speaking team that understands local working conditions.
Data ownership and exit
Can you export your data in a standard format, and who owns the code in the case of custom development?

Red flags

A final price without questions
A company that prices before understanding your processes and data may add costs later or deliver a solution that doesn’t fit.
Promises of guaranteed results
Talk of certain results without measurement or clear conditions is a sign of marketing more than expertise.
Vague currency and payment terms
An offer that doesn’t state each item’s currency and conversion basis opens the door to disputes at the first exchange-rate movement.
No previous work to see
Ask for examples similar to your size and sector, and speak to a past client if possible.

Steps to compare and decide

  1. 01

    Initial screening

Rule out offers that don’t cover the required scope or don’t itemise costs and currency.

  2. 02

    Score with the table

Give each offer a score on each criterion, multiply it by the criterion’s weight, then add up the result.

  3. 03

    Clarification session

Invite the companies behind the best offers to present them and answer your questions, with the people who will use the system every day in the room.

  4. 04

    Negotiate terms before price

Improve the support, payment and data-ownership terms first, then discuss a discount if needed.

Frequently asked questions

How many offers should we request?

A small number, enough for a real comparison without wasting your time or the companies’. Three well-considered offers are better than ten superficial ones.

Should we choose the cheapest offer?

Choose the offer that gives the best value for the total cost. The cheapest may exclude items you will pay for later or come with weak support.

Should we ask for a trial version?

Yes, if possible. Trying the system on a real process from your business with some of your staff reveals more than any presentation.

Is a local company better than a foreign one?

Not necessarily, but nearby support and an understanding of power, connectivity, two currencies and language are important factors that should be part of the assessment.

How do we assess ONE DIGITAL’s offer against others?

By exactly the same criteria. Ask every company, including us, to price the same scope, and compare coverage, support and contract terms objectively.
