A plan that is not updated from the site becomes a historical document.
Digital Construction Project Management: Planning and Tracking in One Place
Most construction projects begin with a neat schedule that is printed and pinned to the wall, then drifts away from reality within weeks. Digital management keeps the plan alive because it is constantly fed by data from the site.

How are construction projects managed digitally?
A project is managed digitally when its schedule, budget and task list sit in one place and are updated from actual site data. The manager sees progress against plan, spending against budget, and open issues with the person responsible for each. The tool may be project management software or organised shared spreadsheets. What matters is disciplined updating.
Elements of a digital project plan
- Work breakdown
- Splitting the project into measurable works, such as excavation, foundations, structure and finishes, then into smaller items.
- Schedule
- The duration and sequence of each item and what it depends on, to see which items would delay the whole project if they slip.
- Budget by item
- An estimated cost for each item covering materials, labour, equipment and subcontractors, in a clear reference currency.
- Responsibilities
- Each item has one known person in charge, not “the team” in general.
- Risk register
- What could delay the project or raise its cost, such as a late material delivery or a price change, with a plan to deal with it.
Weekly tracking
- Actual progress
- The completion rate of each item based on measurement on site, not on general impressions.
- Spend against budget
- What has actually been spent on each item compared with the plan, with an explanation for every large difference.
- Open issues
- A list of every issue, when it appeared, who owns it and when it is due to be resolved, reviewed at every meeting.
- Change orders
- Every change the owner requests is recorded with its effect on time and cost before it is carried out, and approved in writing.
Adapting to Syrian conditions
- A budget in a reference currency
- When prices move with the exchange rate, comparison stays possible if the budget and spending are calculated in a single reference currency.
- Time contingency for power cuts
- Power cuts stop some work or raise generator costs, so build them into the schedule instead of letting them surprise you.
- Tracking delivery dates
- Some materials may become available late, and recording order dates and expected delivery dates reveals the risk early.
- A report for the expatriate owner
- A weekly summary taken from the plan itself saves time spent explaining and builds trust.
How to move one project to digital management
- 01
Choose a project at its start
Applying it to a project halfway through is harder, so start with one whose plan you can build from scratch.
- 02
Break down the work and set the budget
Measurable items, each with a duration, a cost and a person in charge.
- 03
Link daily reports to the items
Every report from the site states the items worked on and the quantities completed.
- 04
Update the plan weekly
On a fixed day, the person responsible updates progress, spending and issues.
- 05
Hold a short progress meeting
Based on the updated plan figures, ending with decisions, owners and deadlines.
- 06
Review at the end of the project
Compare planned with actual for each item, and keep the lessons for the next project.
Indicators for the weekly meeting
| Indicator | Source | What calls for action |
|---|---|---|
| Progress against plan | Site reports and measurement sheets | A critical item running behind schedule |
| Spend against budget | Purchasing and payments record | An item over its planned cost without an approved reason |
| Open issues | Issues log | An issue past its resolution date and still open |
| Change orders | Approved changes log | A change carried out without written approval |

Frequently asked questions
Specialised software or shared spreadsheets?
Spreadsheets are enough for one or two projects and build the right habit. Specialised software helps when projects multiply, or when you need linked schedules and automatic reports.
Who should update the plan?
The planning engineer or project manager, based on site reports. Updating should not be left to anyone who wants to, or the numbers will conflict.
How do we handle change orders the owner requests verbally?
Record the request immediately, calculate its effect on time and cost, and send it to the owner for written approval, even by message. This protects both sides at the final account.
Can several projects be tracked on one dashboard?
Yes, when project plans are built in the same format. A single dashboard can then bring together progress, spending and issues for all projects.
How do we deal with an owner who pays late?
Record the due payment dates in the plan itself and link them to the effect of the delay on the schedule. Showing that effect in dates and figures in the weekly report is clearer than a verbal complaint.
